1. Definitions
In these Terms & Conditions:
- GX Tuition / We / Us / Our refers to GX Tuition, owned by Sanjeev Kochhar, operating from Gerrards Cross Community Association (The Memorial Centre), 8 East Common, Gerrards Cross, SL9 7AD.
- Client refers to the parent or legal guardian who enrols a student and is responsible for payment and decision-making.
- Student refers to the child receiving tuition.
- Services refers to all tuition, classes, assessments, mock exams, resources, and related educational services provided by GX Tuition.
- Lesson refers to a scheduled period of tuition.
- Fees refers to all charges payable for Services.
2. Services Provided
GX Tuition provides educational tuition services including, but not limited to:
- 11+ preparation (Maths, English, Verbal & Non-Verbal Reasoning)
- KS3, GCSE, and A-Level tuition
- Small-group tuition
- Mock examinations and assessments
- Online or digital assessments and learning resources
Group sizes may vary due to attendance, availability, or operational requirements.
GX Tuition reserves the right to substitute tutors where necessary, ensuring equivalent teaching standards are maintained.
For online services, GX Tuition is not responsible for technical issues outside our control, including internet connectivity, device failure, or third-party platform outages.
3. Enrolment
3.1 Enrolment is subject to availability and suitability. GX Tuition reserves the right to refuse or withdraw enrolment at its discretion.
3.2 By enrolling a student, the Client confirms that all information provided is accurate and that they have authority to enter into this agreement on behalf of the Student.
4. Fees, Invoicing & Payment
4.1 Fees are typically charged on a half-termly basis, unless otherwise stated in writing.
4.2 Invoices are issued in advance and must be paid by the due date stated on the invoice, usually on or before the first lesson of the billing period.
4.3 Fees remain payable regardless of attendance, except where lessons are cancelled by GX Tuition.
4.4 Failure to pay fees on time may result in suspension or termination of Services.
4.5 In the event of a fee dispute, the fee confirmed at the time of enrolment or invoicing shall apply.
4.6 GX Tuition may communicate with parents via email, SMS, WhatsApp, or our booking platform for service-related updates, including timetables, invoicing, attendance, and important notices.
5. Cancellations, Absence & Missed Lessons
5.1 If a Client notifies GX Tuition of a student's absence more than 24 hours before a scheduled Lesson, GX Tuition will endeavour (but is not obliged) to offer a suitable alternative where possible.
5.2 Lessons cancelled or missed with less than 24 hours' notice, or due to non-attendance, are non-refundable and non-transferable.
5.3 Lessons cancelled by GX Tuition will be rescheduled or credited where appropriate.
5.4 Late arrival to lessons will result in a shortened session. Lessons will not be extended to compensate for lateness.
5.5 If a student is unwell, we ask that they do not attend in person. Missed lessons due to illness remain non-refundable.
6. Withdrawal & Termination
6.1 Withdrawal from tuition must be made in writing by the Client.
6.2 Withdrawal from tuition does not affect fees due for the current billing period.
6.3 GX Tuition reserves the right to suspend or terminate Services immediately in cases including, but not limited to:
- Non-payment of fees
- Persistent disruptive behaviour
- Breach of these Terms & Conditions
- Safeguarding or welfare concerns
7. Student Conduct
Students are expected to:
- Behave respectfully towards tutors and peers
- Follow GX Tuition's rules and health & safety guidance
- Come prepared and engage positively in lessons
GX Tuition reserves the right to exclude a student whose behaviour disrupts learning or poses a risk to others.
8. Safeguarding
GX Tuition is committed to safeguarding and promoting the welfare of children. All tutors are DBS-checked and adhere to our Safeguarding Policy, available on our website.
9. Intellectual Property
All materials provided by GX Tuition, including worksheets, assessments, and online resources, remain the intellectual property of GX Tuition and may not be copied, shared, or distributed without written permission.
10. Photography & Media
Photographs or videos of students (including their work) may be used for marketing or promotional purposes only with prior consent, which is collected at the point of booking. Consent may be withdrawn at any time by contacting GX Tuition in writing.
11. Data Protection
GX Tuition processes personal data in accordance with UK GDPR and our Privacy Policy. Data is used solely for the provision of Services, communication, safeguarding, and administrative purposes.
12. CCTV & Recordings
12.1 GX Tuition operates CCTV throughout its premises for safeguarding, health and safety, security, the prevention and detection of crime, and the investigation of incidents and complaints.
12.2 Recordings are processed in accordance with UK data protection legislation (UK GDPR and the Data Protection Act 2018) on the lawful basis of legitimate interests, and are only accessed by authorised personnel where necessary.
12.3 Footage is normally retained for a maximum of 30 days before automatic deletion, unless required for an ongoing investigation, legal proceedings, an insurance claim, or to comply with a legal obligation.
12.4 Footage is stored securely and will only be shared with law enforcement, insurers, legal advisers, regulators, or other authorised bodies where lawful and necessary. Audio recording is disabled unless a documented justification exists.
12.5 By attending GX Tuition premises, parents, guardians, students, staff, and visitors acknowledge that CCTV is in operation. Individuals may request access to their personal data, subject to the rights and freedoms of others and applicable exemptions under UK GDPR. Further detail is set out in our Privacy Policy.
13. Limitation of Liability
13.1 GX Tuition does not guarantee specific academic outcomes, exam results, or school admissions.
13.2 GX Tuition shall not be liable for:
- Loss or damage to personal property
- Indirect or consequential losses
- Outcomes beyond our reasonable control
13.3 Our total liability in any 12-month period shall not exceed the Fees paid by the Client for that period.
14. Tutor Engagement & Non-Circumvention
Clients agree not to engage, employ, or make private arrangements with any GX Tuition tutor outside of GX Tuition without our prior written consent.
15. Force Majeure
GX Tuition shall not be liable for any failure or delay in providing Services due to events beyond our reasonable control, including but not limited to illness, venue closure, severe weather, or government restrictions.
16. Complaints
Any concerns or complaints should be raised in writing to info@gxtuition.co.uk. We aim to respond promptly and resolve matters professionally.
17. Changes to Terms
GX Tuition reserves the right to amend these Terms & Conditions at any time. Updated terms will be published on our website and/or communicated by email. Continued use of Services constitutes acceptance of the revised terms.
18. Governing Law
These Terms & Conditions are governed by the laws of England and Wales, and the courts of England and Wales shall have exclusive jurisdiction.
